The Programs & Tools I Actually Use as a Full-Time Photographer
Running a photography business involves far more than just showing up with a camera.
Behind every session is a constant stream of editing, emails, galleries, contracts, scheduling, marketing, social media, client communication, backups, and organisation happening quietly in the background. Over the years, I’ve refined the tools and programs I rely on daily to keep both my workflow and client experience running smoothly.
These are the programs I genuinely use within Hollow & Hearth, not because they’re trendy, but because they help simplify the moving pieces of running a full-time photography business.
SPROUT STUDIO
Client experience matters deeply to me, and Sprout Studio has become one of the biggest foundations behind that.
From contracts and invoices to questionnaires, galleries, workflows, email templates, and online booking, everything lives in one place. It allows the experience to feel seamless and organised for both myself and my clients, while also saving an enormous amount of time behind the scenes.
For photographers juggling multiple systems, having one central platform honestly changes everything.

LATER SCHEDULING
Social media can become overwhelming very quickly when you’re balancing editing, client work, and everyday life.
Later allows me to plan and schedule content ahead of time while visually organising my Instagram feed in a way that feels cohesive and intentional. Being able to see how posts work together before publishing has been incredibly helpful for maintaining a consistent brand presence online.

ADOBE PHOTOSHOP
This is where the final layer of storytelling comes together.
Editing has always been a huge part of my creative process, and Adobe programs remain the backbone of my workflow. Lightroom helps me build consistency across galleries, while Photoshop allows for the finer refinements that bring an image fully to life.
These programs are where atmosphere, tone, colour, and emotion all begin to settle into the final image.
CANVA PRO
Almost every piece of branding, social media content, pricing guide, PDF, or visual marketing material I create starts in Canva Pro.
It’s one of the simplest tools I’ve found for building cohesive branding without needing advanced design software. The ability to quickly create polished content while keeping everything visually aligned has made it invaluable for both business and creativity.
GOOGLE SEARCH CONSOLE
If you have a website and care about SEO, this is one of the most valuable free tools available.
Google Search Console helps track how your website is performing in search results, what keywords people are finding you through, indexing issues, and which pages are gaining visibility over time.
It’s become one of the most important tools behind growing my photography website organically.
There’s no perfect formula for running a photography business, and every photographer’s workflow will look slightly different. But these are the tools that continue to support mine daily, helping create a smoother experience both behind the scenes and for the families and clients I photograph.
If you’re a photographer building your own business, hopefully this gives you a starting point for finding systems that work well for you too.
